Board Roles
PRESIDENT
The president shall be available for advice and counsel during the year following the completion of his or her term of office, at which time he or she shall have a consultation session with the incoming president and turn over all appropriate files, reports, keys, codes, combinations, logins and/or passwords.
The president shall be in communication with the music director(s) and all other officers of the organization.
The president shall have supervision over the business affairs of the association.
The president shall act as judge of all elections and declare results.
The president shall decide any vote resulting in a tie.
The president shall be chairman of the Executive Board.
The president shall preside at all executive and general meetings and maintain order.
The president shall enforce a strict observance of the constitution and bylaws of the organization.
The president shall put all motions, when seconded, to a vote.
The president shall direct the secretary to call special meetings of the organization or have the power to do so themself.
The president shall appoint all standing and special committee chairs deemed necessary to fulfill the business and activities of the organization subject to the approval of the Executive Board.
The president shall appoint an audit committee to audit the books of the organization at the end of the fiscal year.
The president shall represent the organization at any meeting another organization’s delegate invites him or her to attend.
The President shall act in the capacity of coordinator for all fundraising activities and secure necessary permits for such activities.
TREASURER
All deposits shall be made in the name of the Sparta Music Boosters.
The treasurer shall be chair of the budget committee and be responsible for presenting the budget to the general membership for review and for presenting the budget for adoption at the first general meeting of the school year.
The treasurer shall file appropriate tax forms as necessary to preserve the tax- exempt status of the organization.
The treasurer shall be bonded.
The treasurer shall receive all funds due the association, issue appropriate receipts, be solely responsible for deposit of funds in a designated depository determined by the Executive Board, and shall pay all bills upon authorization of the Executive Board.
The treasurer shall provide statements to all donors for IRS tax reporting when donors request such statements. A statement of receipt shall be provided to any donor giving more than $250 in a single donation in accordance with IRS regulations for donations to a 501(c)3 non-profit organization.
The treasurer, along with the assistant treasurer, president, or secretary, must sign checks. Two signatures are required on each check.
The treasurer shall be the custodian of all monies and dues of the organization, recording the same in a bound ledger.
The treasurer shall pay all orders when presented to him or her and approved by the organization.
The treasurer shall maintain correct accounts of all monies and shall make deposits and payments designated by the Executive Board.
The treasurer shall keep account of Family Account and Organizational Account funds and carry said accounts over from year to year.
At all meetings, the treasurer shall submit a written report to the membership. The report shall include beginning balance of the organization’s accounts, itemized income, interest earned, status of certificates held, itemized expenses, and ending balance. A copy should be filed with the president by the fifteenth of each month or as soon thereafter as bank statements are received.
Records will be audited at the end of the fiscal year.
The treasurer shall prepare a summary of finances at the end of the fiscal year, which shall be available to all organization members. Included in the report shall be an itemization of expenses and profits from each fundraising activity.
In an emergency and on approval of the president or vice president, the treasurer can disperse funds up to a limit of two hundred dollars ($200). Such disbursements shall be reported to the organization at the next general meeting.
All disbursements shall be made by check.
SECRETARY
The secretary’s final written report of all duties performed shall be given to the president upon completion of term of office, along with the “procedure book” and all papers of the association.
The secretary shall attend all meetings and act as clerk thereof and record all votes and minutes of all its transactions.
The secretary shall make meeting minutes available for board review within 24 hours of each meeting. The board will have 7 days to suggest any edits before the secretary publishes these minutes.
The secretary shall keep a copy of the bylaws.
On instructions from the president, the secretary shall conduct all correspondence for the organization including the sending of appropriate thank-you notes.
Copies of all correspondence shall immediately be given to the president.
A copy of the recordings is to be given to each member of the Executive Board and to the music director(s) of each music organization prior to the following meeting.
The secretary shall present a written report of minutes at all regular meetings, including a record of all attendees.
The secretary shall notify those elected to office within ten days of their elections.
The secretary shall apprise committee members of their appointments.
The band director(s) shall provide the secretary with a correct list of all band members annually.
The secretary is responsible for all correspondence and shall perform other duties assigned by the president and the Executive Board.
The secretary shall keep a file of all recordings, communications, and flyers.
The secretary shall read and answer all correspondence and shall have custody of the same.
Upon leaving office, the secretary shall transmit all property of the organization entrusted to him or her to his or her successor.
VICE-PRESIDENT OF EVENTS
Supervise the collection and revision of event planning guides and notebooks for standard operations and procedures for the events or projects.
Planning, preparation, and completion of all organized student, alumni, and community events, including the naming of sub-Chairpersons of any organized special event.
Attend monthly Booster meetings.
Serve as manager for all Special Event sub-Chairpersons.
Assist director(s) in establishing operations calendar and timeline of all logistics for the event.
VICE-PRESIDENT OF PUBLIC RELATIONS
Ensure that the organization is brought to the attention of the public at large in such a manner as to reflect credit and pride upon the activities of the organization through local newspaper announcements, newsletters, e-mail, website, social media, and other means.
Publish meeting times, minutes, and other necessary material.
Oversee the purchase and sale of all organization related promotional items (i.e., t-shirts, hats, car stickers, etc.)
Media communication.
Coordinate photography.
Attend monthly Booster meetings
VICE-PRESIDENT OF VOLUNTEER COORDINATION
Maintain and review Medical Forms for all students.
Maintain skill set and volunteer interest spreadsheet for membership.
Provide list of potential volunteers by area of volunteer interest to Event Coordinator.
Attend monthly Booster meetings.
Work with students and staff on coordination or props and equipment.
Training chaperones for organization sponsored activities.
UNIFORM CHAIRPERSON
Inventory, maintain, and issue attire.
Manage uniform volunteer team.
